Homestead Hospital’s Annual Best Practice Fair
BACKGROUND & PURPOSE
Dissemination is an important yet often overlooked component of the research process. Research often results in innovation that can inform best practices at the bedside, yet the diffusion of such research into the practice community can be painstakingly slow (Glascow, Vincent, Chambers, Khoury, Kaplan & Hunter, 2012). The internal dissemination process for research in Homestead Hospital starts with presentations in the shared governance councils, particularly, the Evidence-Based Practice and Research Council (EBPRC). (NK2 01 EBPRC Meeting Minutes 3/5/13) As an additional way to propagate knowledge obtained through research, the EBPRC agreed to identify a method involving staff. (NK2 02 EBPRC 2013 Goals) As a result, Homestead Hospital conducts an annual “Best Practice Fair” (BPF). All staff, particularly clinical nurses, have the opportunity to disseminate the knowledge obtained through their research studies to internal audiences. The BPF provides an enjoyable and low-stress forum for nurses and other allied health professionals to share their research, evidence-based practice (EBP) and performance improvement (PI) projects. Any staff member is invited to participate and/ or attend. The BPF is a free event that is open for attendance to all Baptist Health South Florida (BHSF) entities.
METHODS & APPROACH
Stemming from the EBPRC and the Magnet Designation department, a planning committee is convened in late spring or early summer to begin the planning process. The BPF takes place in late summer/early fall of each year. The planning committee consists of volunteer nurses and support personnel. The goals of the planning committee are to determine:
- The date and venue for the fair.
- A theme for the fair.
- The advertising and promotion for the fair.
- The abstract submission, podium and poster presentation deadlines.
In May of 2013, the planning committee members (NK2 03 BPF Planning Committee Meeting Minutes) began meeting to plan the “2013 – Homestead Hospital Best Practice Fair”. Three meetings, of about 1-hour in length, took place between May and August of 2013. The initial meeting consisted of brainstorming thematic ideas; the second meeting focused on formulation of deadlines, marketing, logistics and venue. The final meeting involved abstract review and acceptance. During the initial meeting, the planning committee decided on the theme: “Transformation through Innovation”. An aesthetic theme of “gems” was chosen by consensus to represent the transformation effects of research driven innovation on practice. Gem-inspired activities were integrated throughout the fair and each abstract submission was assigned a specific gemstone to be included as part of the decorative premise for their poster development.
In June, the second planning meeting took place. In order to allow greater access to the fair by all Homestead Hospital employees, the planning committee decided that the 2013 BPF was to be held on August 20th, 2013, in an open walkway next to the cafeteria. The team determined that such a location was suitable only to poster presentations (rather than podiums) so as not to disturb cafeteria patrons. They approved the flyer announcing the BPF and sent it out along with an abstract development template to all nursing and allied health staff later that day.
The Magnet Designation department and the planning committee agreed to offer a prize to the highest scoring poster presentations. A 1st, 2nd, and 3rd prize were to be awarded. The committee also agreed that a four-judge panel would be invited to score poster presentations based upon predetermined scoring criteria. (NK2 04 Completed Project Evaluation Scorecard) The panel consisted of Homestead Hospital’s Chief Executive Officer, a physician with privileges at Homestead Hospital, a Nurse Scientist and a Magnet Project Director from another hospital within BHSF system. Attendees to the Homestead Hospital BPF 2013 were also offered an opportunity to be entered in a raffle. In order to be eligible for the raffle, attendees were required to visit each poster and answer questions regarding the contents of each of the posters. The questions were created by the Nurse Scientist Maria Ojeda, ARNP and approved by the planning committee.
Ojeda created the abstract submission template, which contained content guidelines suitable for research, EBP and PI projects. She also assisted with abstract development upon request and provided the initial review of all abstracts submitted. Those who wished to submit an abstract were instructed to forward their submission to Ojeda by August 9th, 2013. The planning committee considered her recommendations in making the final decisions regarding abstract acceptance based on majority vote. The Magnet Designation department and the Center for Excellence in Nursing supported the costs of posters that would later be used at other venues.

OUTCOMES
The 2013 BPF accepted a total of 16 abstracts for poster presentations (11 PI projects, 4 EBP, and 1 research). Accepted abstracts were assigned a specific gemstone to include as part of the poster décor in keeping with the fair’s theme of Transformation through Innovation. Individuals whose abstracts were accepted also received an email containing an information sheet for set-up on the day of the fair.

The fair took place on August 20th, 2013 from 11 a.m. to 3 p.m. Poster sessions were held throughout the entire 4-hour period. A total of 52 people officially signed in, of those 15% were from other entities. Homestead Hospital employees other than nurses also attended the fair, such as physicians, social workers, registration personnel, operators and information technology (IT). Visitors and family members were also seen visiting the area and reading the posters, even though they did not formally sign-in. (NK2 05 2013 BPF Sign-in Sheet and Flyer) The 4- judge panel visited each poster and discussed the projects with each presenter. Scoring sheets were submitted to Planning Committee Member Randy Garcia who tallied the scores. Prize winners were announced via email later that afternoon. The Emergency Department was the first prize winner and won a pizza party sponsored by the Magnet Designation Department. A beautiful elegant gem necklace was raffled and won by Rupinder Gil, RN from 3 South.

Internal dissemination of findings was achieved by offering free attendance in an open venue to all employees of Homestead Hospital. Attendees at all levels, from unlicensed personnel, to professionals and administrators, have participated in the yearly fairs since their inception in 2011. Each year, the quality of the projects and posters presented has noticeably improved. In 2011, all posters were tri-folds of PI projects, while in 2013, research projects and professional posters were presented at the fair. The BPF offers a relaxed venue for nurses and other members of the allied health team to present their projects while providing an opportunity for the exchange of ideas and learning on the development and implementation of research, EBP and PI projects.

NAME OF INITIATIVE
“SCALE: Skin Changes at Life’s End” – Dissemination at the Association of Medical Surgical Nurses Annual Conference September 26-30, 2013.
BACKGROUND & PURPOSE
Professional nurses at Homestead Hospital have the opportunity to disseminate research findings to external audiences via publication in professional journals and poster or podium presentations at the annual Baptist Health South Florida (BHSF) research conference and at local and national conferences sponsored by professional organizations. Nurses wishing to disseminate their research to external audiences at Homestead Hospital have numerous resources on which to draw from, whether they are seasoned presenters or novices.
In 2013, two expert Clinical Nurses Rosa Filomeno, RN and Sophie Boudreau, RN identified an opportunity to disseminate the findings of their completed research project entitled “SCALE: Skin Changes at Life’s End – An Educational Intervention for Progressive Care, Intensive Care, and Medical-Surgical Nurses” to a local conference (BHSF research conference) and to a national audience at the annual convention of the Academy of Medical - Surgical Nurses (AMSN). They approached Nurse Scientist Maria M. Ojeda, ARNP to help guide them through the process of poster development and external dissemination. Ojeda is a dedicated research nurse for Homestead Hospital who is a resource for all nurses in any step of the research process - from conception to dissemination.
METHODS & APPROACH
Local Conference
Since 2005, BHSF has held an annual research conference. The conference is sponsored by the BHSF Center for Research & Grants (CRG) and is planned, organized and carried-out by a team of Nurse Scientists and CRG administrative support personnel under the guidance and leadership of Director of Nursing & Allied Health Sciences Research Michelle Kirgan, RN. The BHSF research conference usually takes place in late spring or early summer of each year. The conference provides an opportunity for both novice and experienced researchers to disseminate the findings of research, evidence-based practice or performance improvement projects and contributes to building the local research infrastructure by providing excellent networking opportunities. The conference features general sessions delivered by nationally recognized speakers as well as break-out sessions that offer both local and national researchers a chance to share their findings via podium presentations. Conference registration is free for all BHSF employees as part of the organization’s commitment to developing an appreciation for formal inquiry among its entire staff. The call for abstracts begins approximately 6 months prior to the date of the conference each year. While preference is given to abstracts describing research projects completed within the BHSF system, abstracts from researchers within both the local and national research communities are reviewed and accepted. In 2013, the theme for the 8th Annual BHSF Research Conference was “Clinical Research – Key to Quality Practice”. The call for abstracts was initiated in November of 2012 and the deadline for abstract submission was January 25th, 2013. Under Ojeda’s direction, researchers Filomeno and Boudreau submitted an abstract for consideration and received notification of acceptance in February of 2013 (NK2 06 BHSF Poster Acceptance Letter to BHSF 8th Research Conference). The poster development process at BHSF has been standardized and will be depicted in greater detail below. The poster was presented at the annual conference that took place on April 12th, 2013.
National Conference
The process began with a personal consultation by Filomeno and Boudreau with Ojeda in March of 2013 who assisted them in the development of an abstract for submission to the conference selection committee. Ojeda reviewed the abstract submission guidelines posted on the conference website and guided the nurses in completing an outline of the abstract during the initial meeting. Over a 2- week period, Filomeno and Boudreau communicated with Ojeda via email in developing an initial draft of the abstract and refining its content until they reached an agreement on the final version, which was submitted before the deadline of May 15, 2013.
Filomeno and Boudreau received the exciting news of the acceptance of their poster presentation in June 2013 (NK2 07 Poster Acceptance Letter to AMSN Conference). Upon hearing of the abstract acceptance, Ojeda provided them with several resources to further assist them in the poster development. She gave them an educational resource on poster development entitled, “How to Create a Poster”, as a refresher. Filomeno had previously attended a class on poster development that Ojeda conducted a year before. The resource contained various tips on the appropriate content and design of a professional poster. In addition, Ojeda gave Filomeno and Boudreau an algorithm outlining the steps to follow in the printing process. It listed contact information for approved vendors who provide graphic design and printing services to BHSF. Upon completion of the poster proof, the Magnet designation department shouldered the printing cost. Administrative Assistant Randy Garcia requested a quote from the printer and issued a completed purchase order for the printing of the poster (NK2 08 Poster Printing Purchase Order). Nurse Managers Linda Simpson, RN, and Leslie Everett, RN sponsored the travel costs to the conference for each of the nurses in their support of research at Homestead Hospital.
To formalize the processes described above, the EBPRC developed and approved the Dissemination Plan algorithm in August 2014 for completed nursing research in order to guide principal investigators on how to proceed with diffusion of new knowledge acquired in their research studies. OUTCOMES
The professional poster (NK2 10 SCALE Poster) was completed in August of 2013. Filomeno and Boudreau presented it over 2 days on 3 separate occasions during the AMSN’s 22nd Annual Convention in Nashville, TN, on September 26-30, 2013. Upon their return, they shared their experiences at the conference with their colleagues via hospital-wide and unit-based council meetings.
